Hiring reports and source of hire
What the report helps answer
Hiring reports help you track progress across one or more openings without building a spreadsheet.
Use the report to answer questions such as:
- How many hires are complete against each opening's target?
- Which opening or stage needs attention?
- Where are candidates stalled or dropping out?
- Which source produced successful hires?
- Which sources are producing interviews and offers, not just applicants?
- What should be covered in this week's hiring review?
Where to find it
You may see hiring report panels in several hirer areas:
- Opening dashboard: cross-opening hiring progress for openings you can access.
- Applicant dashboard: opening-level stage health, source quality, and hires.
- Opening editor analytics area: public-page funnel counts alongside downstream candidate progress.
- Applicant profile history: source attribution for that application, including correction history where available.
The exact panels and actions you see depend on your employer access group and the openings you are allowed to view.
Key sections
Hiring progress
The progress view shows target hires, completed hires, active candidates, interviews, offers, stalled stages, bottlenecks, and overall risk for each opening.
Use this first when you want to know which opening needs attention now.
Stage health
Stage health uses application status history, not only the current opening status. It can show:
- current candidates in each stage;
- candidates who entered or exited a stage during the report period;
- active and completed time in stage;
- stalled candidates based on stage aging thresholds.
This helps separate a healthy pipeline from one that looks busy but is not moving.
Source quality
Source quality groups candidates by source and tracks how far they progressed. It includes applicants, qualified candidates, interviews, offers, and hires.
This is different from counting applicants only. A source with fewer applicants may still be valuable if it produces interviews, offers, or hires.
Public-page funnel
For RoleSage-hosted public opening pages, the report can include page views, unique visitors, apply clicks, application starts, and submissions. External job-board impressions are not included unless they are captured through RoleSage source data.
Source attribution
RoleSage stores source attribution on the application where source evidence is available. For public opening submissions, this can include UTM fields, campaign information, referring host, and opening share link details.
Sources may appear as:
- RoleSage public opening;
- campaign or job board;
- referral;
- talent pool rediscovery;
- direct sourced;
- agency;
- internal mobility;
- imported ATS;
- manual;
- unknown.
If older applications or unsupported creation paths do not have reliable source evidence, the report shows Unknown rather than guessing.
Correcting a source
If a source is wrong or missing and you have permission to correct it:
- Open the applicant profile.
- Go to the history area.
- Review Source Attribution.
- Choose the correct source type.
- Enter a clear source label.
- Add a correction reason.
- Save the source.
RoleSage keeps the original captured source and records the correction reason, actor, and timestamp. Reports use the corrected effective source after the correction is saved.
If you cannot edit the source, ask an employer admin to confirm whether your access group includes source correction permission.
Exports and weekly review
If you have export permission, report panels can export:
- opening funnel CSV;
- source quality CSV;
- hires summary CSV;
- weekly hiring review markdown.
Exports are generated from the report data. They are designed for hiring-manager and People team review, not as raw candidate data dumps.
AI Coach reporting help
AI Coach can use the report snapshot to help summarize the hiring review, compare source quality, or explain bottlenecks. It should ground answers in report facts and caveats.
AI Coach does not decide who to hire, move candidates automatically, infer protected characteristics, or replace the underlying report metrics.
Common issues
A source says Unknown
This usually means RoleSage did not receive reliable source evidence for that application, or the application was created before source attribution was available. Correct the source if you know it and have permission.
A teammate cannot see the same report
Reports are permission-shaped. Ask an employer admin to check their opening access and reporting permissions. See Colleague cannot see an opening.
Export buttons are missing
You may have view permission without export permission. Ask an employer admin to confirm your access group.
Public-page counts do not match job-board counts
RoleSage public-page funnel counts only cover RoleSage-hosted public opening activity. External job boards may count impressions, redirects, or clicks differently.
